What to text a lead that went quiet

Updated November 1, 2026

Send a short, specific text that is easy to answer: name the job, ask one question, and offer a time. A quiet lead is often busy, not lost. Follow up two days after the quote, again about five days later, and once more at around two weeks with a polite "should I close your file?" text, then stop.

Why good leads go quiet

64% of businesses don't ask leads to buy or book appointments.

A lead that stops replying has usually not said no. They got busy, got two other quotes, or were waiting for someone to tell them the next step. Many businesses never ask for the booking at all, so the first company to ask clearly often wins.

The follow-up rhythm

  1. Day 2 after the quote: check they got it and offer to answer questions.
  2. Day 5 to 7: one useful detail, like an open slot or a quick answer to the question most people ask.
  3. Day 14: the polite last text. It gives people an easy way to say yes or no.
  4. Stop there. If they come back later, pick up where you left off.

7 texts you can copy

Template: Two days after the quote

Hi [Name], just checking you got the quote for [job]. Any questions I can answer? Happy to walk you through it.

Template: After a site visit

Hi [Name], thanks for showing me the [job] today. Your quote is attached. Any questions, text me here.

Template: With an open slot

Hi [Name], I have an opening on [day] for the [job] if you'd like it. Want me to hold it for you?

Template: When they asked about price

Hi [Name], most [job] runs in the range on your quote. If you'd like a lower-cost option, I can show you what we'd change.

Template: After a missed connection

Hi [Name], sorry we keep missing each other. What time works for a 5-minute call, or would you rather sort it by text?

Template: The polite last text

Hi [Name], I haven't heard back, so I'll close your file for now. If you still want the [job] done, just reply and I'll pick it up.

Template: If they went with someone else

Thanks for letting me know, [Name]. If anything comes up with the job, I'm happy to help.

Rules that keep follow-ups friendly

  1. One question per text, and make it easy to answer.
  2. Use their name and the job, never a generic "just following up".
  3. Offer a time. A specific slot is easier to say yes to than an open question.
  4. If they say stop, stop. Texting people who have not asked to hear from you needs their permission first.

Find your biggest leak first

Quotes going quiet is one leak. The 60-second quiz shows where else jobs slip away, and what to fix first.

Questions owners ask

How many times should I follow up on a quote?

Three times over about two weeks works for most home-service jobs: around day 2, day 5 to 7, and a polite last text near day 14. After that, stop until they reach out.

Is texting better than calling for follow-ups?

For a quote that went quiet, a text is easier to answer at work or after hours. Calls are still best when the customer asked you to call, or when the job is urgent.

What should a follow-up text say?

Name the job, ask one easy question, and offer a next step such as a time slot. Short and specific gets more replies than a long message or a vague "just checking in".

Why does the "should I close your file?" text work?

It gives a busy person an easy way to answer either way, and it signals you are not going to keep chasing them. It is easy to answer, even for someone who let the earlier messages slide.
